Position Summary
The Health Information Management Lead supports the integrity, accuracy, and timeliness of medical records, coding, and billing functions at Petersburg Medical Center. This role assists the HIM Director with daily department operations, staff support, training, and quality assurance activities. The HIM Lead promotes compliance with applicable healthcare regulations, coding standards, and privacy requirements while supporting effective clinic and revenue cycle operations. This position upholds PMC's Mission and Guiding Values and contributes to the safe, compliant, and high-quality patient care.
Departmental Operations and Leadership
- Assists the HIM Director with daily operations, workflow coordination, and staff support to enhance departmental performance
- Support onboarding, training and mentoring of HIM staff to build competency and confidence
- Assist with oversight training and competency validation
- Maintain collaborative working relationships with HIM Director, clinic leadership, business office and other departments
- Promote effective communication and teamwork; assist with resolving workflow or interpersonal issues professionally
- Perform other duties as assigned
Coding, Billing & Revenue Cycle Support
- Ensure clinic coding, billing, medical records are completed accurately and in a timely manner
- Review clinic coding for accuracy and identify, correct or escalate discrepancies as needed
- Apply current CPT, ICD-10-CM, HCPCS coding guidelines in accordance with CMS and payer requirements
- Generate daily clinic visit census reports
- Assist with maintenance or the item master list as it relates to coding and billing accuracy
- Communicate and coordinate with the Business Office, Billing Office and other partners regarding coding and billing issues
- Support revenue cycle integrity through collaboration and data review
Data Abstraction & Reporting
- Generate reports related to clinic coding, billing and HIM operations as requested
- Support audits, assessments, and performance monitoring to ensure accuracy, compliance and timeliness
Chart Review & Documentation Integrity
- Review clinic charts for completeness, accuracy, and required documentation
- Communicate documentation deficiencies to appropriate staff for correction
- Review records for appropriate handling of sensitive or restricted information
Release of Information
- Review and process requests for release of information in accordance with HIPAA, State of Alaska regulations, and PMC policies
- Handle requests from patients, healthcare facilities, insurance companies, attorneys, courts, subpoenas, government agencies (including SSA) as appropriate
- Ensure proper authorization, documentation, and tracking of disclosures
Filing, Scanning & EHR Management
- Scan and index records accurately into the electronic health record (EHR)
- Support proper document management, retention, and accessibility in accordance with policy and regulatory standards
Policy & Compliance Support
- Assist the HIM Director with the development, review, and maintenance of HIM policies and procedures
- Support compliance with HIPAA privacy and security requirements, CMS Condition of Participation and applicable State of Alaska regulations
- Participate in audits and quality improvement efforts related to the HIM process
Professional Standards & Regulatory Alignment (AHIMA / CMS)
This role supports Health Information Management functions consistent with American Health Information Management (AHIMA) professional standards and applicable CMS Conditions of Participation, under the direction of the HIM Director.
Qualifications -- Required
- Associates degree or minimum of two (2) years of experience in medical coding, billing, or health information management in a healthcare setting
- Strong organizational skills and attention to detail
- Ability to prioritize tasks and manage multiple requests in a fast paced, multi-department environment
- Ability to maintain confidentiality and handle sensitive information appropriately
Preferred
- Experience with electronic health records (EHR)
- Familiarity with healthcare coding standards, and revenue cycle processes
- Proficiency with Microsoft Office applications (Excel, Word, Outlook)
Employment Requirements
- Background Check. Employment is contingent upon successful completion of a background investigation conducted by the State of Alaska, in accordance with applicable regulations
- Drug Screening. Successful completion of a pre-employment drug screening, including testing for marijuana
- Immunization Compliance. All employees must meet all immunization requirements mandated by the State of Alaska and federal healthcare regulations
Working Conditions
Full time, 40 hours per week. Works in a clean, well-lit environment around patients, residents, family members and employees at PMC's Wellness, Education & Resources Center (WERC) building or onsite at PMC main campus.
